ARTIFICIAL INTELLIGENCE (AI) AND AI-ASSISTED TECHNOLOGIES POLICY FOR AUTHORS

1. Introduction

[Journal of Kajian Veteriner] recognizes the growing use of Artificial Intelligence (AI), including Generative Artificial Intelligence (GenAI), Large Language Models (LLMs), and other AI-assisted technologies in scientific research, writing, editing, and scholarly publishing. These technologies may provide valuable assistance in improving writing efficiency, language quality, information processing, and certain technical aspects of research. However, their use must remain consistent with the principles of academic integrity, transparency, accountability, originality, and scientific responsibility.This policy provides guidance to authors regarding the appropriate, ethical, and transparent use of AI in the preparation and submission of manuscripts to [Journal of Kajian Veteriner]. This policy applies to all authors, including corresponding authors, co-authors, and contributors involved in the preparation of scholarly manuscripts.

2. General Principles

Authors may use AI and AI-assisted technologies as supportive tools during the research and manuscript preparation process, provided that such use does not replace the intellectual, scientific, and ethical responsibilities of the authors.

Authors remain fully responsible for:

  • The originality of the manuscript;
  • The accuracy and validity of research data;
  • The appropriateness of research methods;
  • The accuracy of analyses and interpretations;
  • The accuracy and reliability of references and citations;
  • The originality of ideas and arguments;
  • Compliance with research and publication ethics.

The use of AI does not transfer authorship responsibilities to AI systems or technology providers.

 3. Permitted Uses of AI

Authors may use AI-assisted technologies for the following purposes:

3.1 Language Editing and Proofreading

AI may be used to assist with:

  • Grammar correction;
  • Spelling and punctuation;
  • Improving sentence clarity;
  • Language refinement;
  • Manuscript translation;
  • Academic language editing.

Authors must ensure that AI-assisted editing does not alter the scientific meaning, substance, or interpretation of the manuscript.

3.2 Manuscript Structure and Organization

 AI may be used to assist authors in:

  • Developing manuscript outlines;
  • Organizing ideas;
  • Structuring sections of a manuscript;
  • Identifying relationships among concepts;
  • Developing research keywords.

Such assistance must not replace the intellectual contribution of authors in developing scientific concepts, hypotheses, and arguments.

3.3 Technical Assistance in Programming and Analysis

AI may be used to assist with:

  • Writing or debugging computer code;
  • Identifying syntax errors;
  • Explaining statistical or computational methods;
  • Assisting with data visualization;
  • Automating certain technical tasks.

Authors remain responsible for independently validating all code, calculations, analyses, and results generated with AI assistance.

3.4 Assistance in Literature Searching

AI may be used as an initial tool to assist with:

  • Identifying search keywords;
  • Developing literature search strategies;
  • Grouping research themes;
  • Understanding scientific terminology.

However, authors must independently verify all cited sources. AI must not be used as the sole basis for establishing the existence, accuracy, or validity of scholarly references.

 4. Prohibited Uses of AI

Authors must not use AI or AI-assisted technologies in unethical ways, including but not limited to:

  1. Generating research data that were not obtained through valid research methods;
  2. Fabricating, falsifying, or manipulating research data or results;
  3. Generating unverifiable references, DOIs, citations, or scholarly sources;
  4. Making unsupported scientific claims;
  5. Producing all or substantial parts of a manuscript without meaningful intellectual contribution and oversight by the authors;
  6. Concealing AI use when disclosure is required under this policy;
  7. Uploading confidential, personal, patient, or sensitive research information to AI platforms without appropriate authorization and safeguards;
  8. Using AI to facilitate plagiarism, misleading paraphrasing, or copyright infringement;
  9. Using AI to manipulate peer-review procedures or editorial communications.

 5. Transparency and Disclosure of AI Use\

Authors must disclose the use of Generative AI or AI-assisted technologies when such tools have been used substantively in the preparation of a manuscript.

The disclosure should include:

  • The name of the AI tool or platform;
  • The purpose of its use;
  • The stage or section of the manuscript in which AI was used;
  • A statement confirming that all AI-assisted outputs have been reviewed and verified by the authors.

The purpose of disclosure is to promote transparency and accountability in scholarly communication.

Example of an AI Disclosure Statement

Declaration of Artificial Intelligence Use

During the preparation of this manuscript, the authors used [name of AI platform] to assist with language editing, grammar correction, and improving the clarity of the manuscript. All scientific content, research data, analyses, interpretations, and conclusions have been reviewed and verified by the authors. The authors take full responsibility for the accuracy, integrity, originality, and final content of this manuscript.

When AI Was Not Used

The authors declare that no Generative Artificial Intelligence (AI) or AI-assisted technologies were used in the preparation, analysis, writing, or revision of this manuscript.

6. AI Cannot Be Listed as an Author

Artificial Intelligence systems, Large Language Models, and AI-based software cannot be listed as authors or co-authors of a manuscript. Authorship may only be attributed to individuals who meet the scientific and ethical responsibilities of authorship, including the ability to:

  • Make substantial intellectual contributions;
  • Approve the final version of the manuscript;
  • Take responsibility for the content of the manuscript;
  • Ensure the integrity of the research;
  • Disclose conflicts of interest;
  • Respond to scientific questions and criticism.

AI systems do not possess the legal, ethical, or scientific capacity to fulfill these authorship responsibilities.

7. Confidentiality and Data Protection

Authors must protect the confidentiality of research information when using AI platforms. Authors must not upload the following information to public or unauthorized AI platforms:

  • Personal data;
  • Patient information;
  • Participant identifiers;
  • Confidential research data;
  • Unpublished manuscripts containing sensitive information;
  • Information protected by confidentiality agreements or intellectual property rights.

Authors are responsible for ensuring that the use of AI platforms complies with applicable data protection regulations, research ethics requirements, and institutional policies.

8. Responsibilities of Editors and Reviewers

Editors and reviewers are also expected to use AI technologies responsibly. Editors and reviewers must not upload manuscripts, research data, or confidential information obtained during the peer-review process to public AI platforms without appropriate authorization. Any use of AI by editors or reviewers must respect:

  • Manuscript confidentiality;
  • Editorial independence;
  • Conflict-of-interest requirements;
  • The integrity of the peer-review process.

Editors and reviewers remain fully responsible for editorial decisions and scientific recommendations.

9. Author Verification and Accountability

Authors must carefully verify all information, content, analyses, or outputs generated or assisted by AI. Verification should include:
